A Joyful, Family-Filled Wedding at Hanover Reserve | Hamilton, OH Wedding Planner Recap

This past weekend, I had the joy of coordinating Kevin and Sophia’s unforgettable wedding at Hanover Reserve in Hamilton, Ohio. With over 300 guests, countless loving family members, and an electric energy that carried from the first look through the final dance, it was a celebration absolutely overflowing with love, laughter, and life.


The Ceremony on the Patio

Before the ceremony began, Kevin and Sophia shared a quiet first look followed by private vows — a heartfelt and grounding moment together before the whirlwind of the day began.

The ceremony took place on Hanover Reserve’s back patio, which Sophia’s family transformed into a lush, intimate garden by bringing in all the greenery themselves. Lanterns lined the aisle, casting a warm glow as guests took their seats.

The processional included some of the couple’s most cherished loved ones: Sophia’s great grandmother, maternal grandmother, and paternal grandparents, as well as Kevin’s maternal grandmother, all escorted to their seats before the bridal party.

Three sets of Sophia’s younger cousins served as “flower spreaders,” each group featuring one boy cousin escorting two girl cousins down the aisle — a heart-melting way to make sure everyone got to be part of the bridal party.

The ceremony began with a unity candle lit by both mothers, a touching symbol of two families becoming one. Sophia’s sister officiated, making it even more meaningful and personal. A solo violinist filled the air with music for the prelude and ceremony, adding a soft romantic touch to the scene.


A Glowing, Dreamy Reception

As the sun set, the reception space glowed with soft light. Tapers and tea lights twinkled across the tables, floating candles sparkled in vases, and the fireplace crackled warmly inside. It created the dreamiest, most romantic atmosphere — perfect for celebrating surrounded by hundreds of friends and family.

Signature drinks kept spirits high: Sophia’s favorite tequila soda with limes, Kevin’s old fashioned (though he happily sipped on a Michelob Ultra), and a special “Maverick” cocktail named after one of their pets.

For dessert, a small cutting cake was lovingly prepared by one of Sophia’s aunts, while sheet cakes ensured all 300+ guests got a slice of sweetness.


Personal Touches & Thoughtful Details

I arrived early in the day to help bring their vision to life — laying out the greenery on tables, filling vases for floating candles, assembling the seating chart with wax seals, and setting up their creative sign-in table. Instead of a traditional guest book, they asked guests to sign individual playing cards with messages they could later frame — such a fun, personal twist.

They skipped the traditional bouquet toss and instead dedicated the bouquet to Sophia’s mother in gratitude for her tireless work planning and supporting the day — a heartfelt moment that had everyone tearing up.


Behind the Scenes

Part of my role as their coordinator was keeping this big celebration running smoothly. One memorable moment came from problem-solving their unity candle: at rehearsal, the wind threatened to blow it out, so I made a quick Walmart run for a tall vase to shield the flame. It worked perfectly, allowing their unity candle ceremony to shine without a hitch.

Later in the evening, the DJ accidentally skipped straight from the couple’s speech to cake cutting, passing over the best man and maid of honor toasts — but we pivoted quickly, made space for the speeches, and still gained even more open dance floor time as a result.

Even my day-of emergency kit came in handy — one of the aunts borrowed my mobile charger so she could stay connected without leaving her phone behind.


Dance Floor Energy & Family Everywhere

Once the party started, the dance floor was alive all night — full of laughter, joy, and a sea of friends and family. Sophia changed into a second dress for the open dancing, and the energy was absolutely electric.

There was a content-creator friend capturing behind-the-scenes video, plus two professional photographers ensuring every smile, tear, and dance move was documented. At the end of the night, per a suggestion we had discussed in their planning meetings, Kevin and Sophia shared a private final dance on the empty dance floor — a quiet, heartfelt close to an otherwise high-spirited day.

Cleanup was a late-night team effort, with the catering and venue staff working together to reload the family’s U-Haul with all of their décor items.


A Celebration to Remember

Kevin and Sophia’s wedding at Hanover Reserve was vibrant, heartfelt, and overflowing with the love of their family. From the glowing candlelit reception to the buzzing dance floor, it was such an honor to be part of this unforgettable day.
